Terms of Service

These Terms of Service (“Terms”) govern your use of SuiteCollector (“the Service”), operated by SuiteCollector (“we”, “our”, or “us”). By using the Service, you agree to these Terms.
1. Service Description
SuiteCollector is a cloud-based collections management platform designed for businesses using Oracle NetSuite. The Service provides automated dunning workflows, customer management, payment tracking, risk scoring, and reporting tools that integrate with your NetSuite instance via OAuth 2.0.
2. Accounts and Teams
To use SuiteCollector, you must create an account with a valid email address. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.
SuiteCollector uses a team-based model. Each team maintains its own customers, workflows, settings, and NetSuite connection. When you create a team, you become the team owner. Team owners can invite additional members and manage access permissions.
You must be at least 18 years old and authorized to act on behalf of your organization to create an account and connect a NetSuite instance.
3. Subscription and Billing
SuiteCollector offers the following subscription plans:
- Monthly — $399 per month, billed monthly
- Annual — $3,990 per year, billed annually ($332.50/month equivalent)
Both plans include a 14-day free trial. No credit card is required to start a trial. All features are included in both plans.
Subscriptions renew automatically unless cancelled before the end of the current billing period. You can cancel at any time from your account settings. Cancellation takes effect at the end of the current billing period — no prorated refunds are issued for partial periods.
4. NetSuite Integration
SuiteCollector connects to your NetSuite instance through OAuth 2.0 using credentials from your NetSuite Integration Record (Client ID, Client Secret). By connecting your NetSuite instance, you represent that:
- You are authorized to grant SuiteCollector access to the NetSuite data that will be synced
- Your use of SuiteCollector complies with your NetSuite license terms
- You have obtained any necessary internal approvals for this integration
SuiteCollector is not responsible for errors, data loss, or service disruptions caused by changes to your NetSuite configuration, permissions, or API availability.
5. Data Ownership
You retain full ownership of all data you provide to SuiteCollector, including customer records, invoices, and workflow configurations. We do not claim any ownership rights over your data.
You grant SuiteCollector a limited license to use your data solely for the purpose of providing the Service — including syncing with NetSuite, executing workflows, sending communications, and generating reports.
6. Communications Sent on Your Behalf
SuiteCollector sends dunning emails and other collection communications on your behalf as part of your configured workflows. You are responsible for the content of your email templates and ensuring that communications comply with applicable laws, including CAN-SPAM, GDPR, and any other relevant regulations.
7. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or to harass recipients of collection communications
- Attempt to gain unauthorized access to other teams’ data or the Service’s infrastructure
- Interfere with or disrupt the Service or its supporting systems
- Reverse engineer, decompile, or disassemble any part of the Service
- Resell or redistribute the Service without written permission
8. Service Availability
We strive to maintain high availability but do not guarantee uninterrupted access. We may perform scheduled maintenance with advance notice. We are not liable for downtime caused by factors outside our control, including NetSuite API outages, internet service disruptions, or force majeure events.
9. Termination
You may cancel your subscription at any time. We may suspend or terminate your account if you violate these Terms or fail to pay applicable fees after notice.
Upon termination, your data is retained for 30 days, then permanently deleted. You may request a data export before deletion by contacting support@suitecollector.com.
10. Limitation of Liability
To the maximum extent permitted by law, SuiteCollector’s total liability for any claims arising from your use of the Service is limited to the amount you paid for the Service in the 12 months preceding the claim.
SuiteCollector is not liable for indirect, incidental, special, consequential, or punitive damages, including lost revenue, lost data, or business interruption, regardless of the theory of liability.
11. Indemnification
You agree to indemnify and hold SuiteCollector harmless from any claims, damages, or expenses arising from your use of the Service, your violation of these Terms, or your collection communications and practices.
12. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes via email or through the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
